Technical Design Office Administrator

Based in Balbriggan Office

OVERALL PURPOSE OF ROLE

To assist with the day to day running of the Technical Services team who provide technical support to the business and end user if necessary and who provide an efficient estimating/technical service to the Branch Network.

JOB SPECIFICATION

Key Responsibilities

  • Project flow management i.e. logging of all projects and overseeing progress and reporting on same which includes liaising with relevant Business Development Managers (BDM’s) and branches for updates etc
  • Deal with incoming correspondence and requests via estimation@heatmerchants.ie
  • Quality check the information provided in project requests (plans orientation etc) before setting up on the log
  • Allocation of projects to internal and external resources for action and monitoring of these projects for return time lines
  • Analysis of the budget calculator/actual project figures to ensure budget calculator is accurate and up to date and reporting on same, highlighting any discrepancies/issues
  • Evaluating incoming jobs that include UFH and issuing the project requests to Polytherm (sister Company) for costing.
  • Return costs to the project folder and BDM if requiredInitial point of contact for requests for schematics technical enquiries
  • Generating quarterly reports on team performance and targets met including project turnaround times
  • Managing folder structures in technical libraries to improve access and efficiency
  • Manage the requests for E-forms to be set upLogging and filing of all commissioning certificates to the relevant projects
  • Back office support (1day a week) for National Technical Support Engineer to include time sheets cost allocation/invoicing sheets for internal reallocation.
  • Preparation of design sign off sheets for projects and ensure the relevant Engineer signs off on the paperwork, issuing same and filing copies in project files
  • Creation of budget quotes and issuing of same
  • Occasional project design and calculation, if trained up, and if the team require assistance
  • Address requests for copies of project documents already completed from outside sources and amendments to projects already issued
  • Updating of model numbers/u codes and cost increases in our project calculator look up tables (process updates model number changes/additions). This includes radiators and UFH process changes.
  • Generate reports from Sales-I CRM to relate projects processed by the Technical Team against projects won and delivered by the business.
  • General office duties including ordering stationary, managing the team holiday calendar, booking training sessions and CPDs
  • Adherence to Health, Safety and Environmental rules and regulationsAny other duties as reasonably requested by management that are within your capability to perform.

PERSON SPECIFICATION

  • The successful candidate must:
  • Have a minimum of 1 year’s recent previous relevant experience
  • Be a proficient user of Microsoft Office Suite and in particular Excel to at least intermediate level
  • Possess excellent communication and interpersonal skillsHold a full valid driver’s license.

In addition to the above, it would be advantageous for applicants to have any of the following:

Previous estimating experienceExperience in the heating & plumbing industry
